Privacy policy

Smart Kitchen Docs is an equipment documentation tool for commercial kitchens, published by DAG LLC. This policy explains what the app collects, why it collects it, and what it never does.
The short version. There is no advertising, no tracking across other apps or sites, and nothing is sold or shared with data brokers. During the pilot the app has no personal accounts — a kitchen signs in with a shared access code. We do record the questions people ask, because that is how we find the manuals we are missing.
What the app collects
Your kitchen's access code
A kitchen signs in with a code we issue. The code identifies the kitchen, not the person holding the phone. We do not ask for a name, an email address or a phone number to use the app.
Questions and answers
When someone asks a question, we record the question text, which piece of equipment it resolved to, which manual pages were retrieved, and what kind of response came back. This exists for one reason: to find the gaps. A question that returns “no manual” tells us a document we need to source; a question that resolves to the wrong unit tells us a naming problem to fix.
Please don't type personal information into a question. There is no reason to, and we would rather not hold it.
Data-plate photographs
When you photograph an equipment nameplate to identify a unit, the image is sent to our server, read for make, model and serial, and used to match the equipment. Take a picture of the plate, not of the room or the people in it.
Documents you upload
Manuals, service records and other documents you add are stored and indexed so they can be searched and cited. They are scoped to your kitchen and are not shown to other kitchens.
Reports you send us
If you flag an answer as wrong, we receive the question, the answer, the pages that were used, and the app version, so the problem can be reproduced and fixed.
What the app does not collect
- No advertising identifiers, no ad networks, no third-party analytics SDKs.
- No contacts, no calendar, no location.
- No camera or photo access beyond the pictures you deliberately take or choose for equipment identification.
- No sale or sharing of data with data brokers, ever.
Notifications
Maintenance reminders are scheduled and delivered locally on the device. Your task schedule does not need to leave the phone for a reminder to fire.
Who processes data on our behalf
We use a small number of infrastructure providers, each bound to process data only for us:
- Cloudflare — application hosting, document storage and search indexing.
- Anthropic — the language and vision models that read manual pages, compose cited answers and read data plates. Content sent for processing is not used to train their models.
- Apple and Google — app distribution, including TestFlight during the pilot. Their own privacy terms apply to the store and the device.
How long we keep things
- Questions, answers and diagnostic records: deleted after 12 months.
- Data-plate photographs: retained only as long as needed to identify the unit, then deleted.
- Documents you upload and the equipment in your kitchen: kept until you ask us to remove them, or until your kitchen stops using the product.
Your choices
Write to dylan@smartevguides.com and we will tell you what is held for your kitchen, correct it, or delete it. Because the pilot uses a shared access code rather than personal accounts, requests are handled at the kitchen level.
Children
Smart Kitchen Docs is a workplace tool for commercial kitchens. It is not directed at children and we do not knowingly collect information from anyone under 13.
Changes to this policy
If this policy changes in a way that affects what we collect, we will update the date at the top and say what changed. Material changes will be surfaced in the app.
